Start with your workflows, not the feature list
Most management system comparisons start with a feature checklist — attendance, fees, exams, messaging. A more useful starting point is your actual workflow: who enters attendance, how fee reminders go out today, who approves a leave request. A system that covers every feature on paper but doesn't match how your staff actually work will get abandoned within a term.
Separate 'must-have' from 'nice-to-have'
For most schools and colleges, admissions, attendance, fee collection and exam/result management are non-negotiable. Parent communication, a mobile app, and biometric integration are valuable but can often be phased in after the core system is stable. Trying to launch everything at once is one of the most common reasons rollouts stall.
Ask who owns the data, and how you get it out
Before signing up, ask directly: can you export your student records, fee history and attendance data in a standard format (CSV/Excel) at any time, without depending on the vendor? A system that locks your data in is a long-term risk, regardless of how good the interface looks today.
Plan the rollout in phases
A single class or department running the system for one term, with a clear feedback loop, surfaces problems while they're still cheap to fix. Rolling out to the entire institution on day one usually means every issue — training gaps, data entry mistakes, missing edge cases — happens simultaneously.
Where this fits with Kiji Technology
Our School, College and University Management Systems are built around this same philosophy: core workflows first (admissions, attendance, fees, exams), configured to match how your institution already operates, with a phased rollout and your data always exportable.
